Use the Emburse Mobile Wallet

The Emburse Mobile Wallet displays unused receipts and eligible credit card transactions associated with your connected corporate or linked cards. Use your wallet to review transactions, capture receipts, add processed receipts to draft reports, and manage expense activity directly in the Emburse Enterprise mobile app.

Your wallet helps you capture receipts directly after purchases and manage expense activity without switching to desktop. See Add a Receipt to a Credit Card Transaction, below, for details.

In the navigation bar, tap Wallet to access your receipts and credit card transactions.

Wallet Filters

Your wallet includes filters for receipts, credit card transactions, and merged items.

Receipts Filter

The Receipts filter displays unused receipts uploaded to Emburse Enterprise, including:

  • Receipts captured in the mobile app
  • Receipts uploaded from other sources
  • Receipts still processing through Emburse AI
After you merge a receipt with a credit card transaction or add it to a report, the receipt no longer displays under Receipts.

Credit Card Filter

The Credit Card filter displays credit card transactions associated with connected corporate or linked cards.

Key details include

  • Merchant Name
  • Transaction Amount
  • Transaction Date
  • Card Reference (last four digits)

Transactions are grouped by status and date.

Merged credit card transactions display under both the Credit Card and the Merged filters.

Merged Filter

The Merged filter displays receipt and credit card transaction pairs created in the desktop application. It includes pairs that you merged manually and pairs that Emburse AI merged automatically.

  • A paperclip icon identifies a manually merged item.
  • A sparkle icon identifies an item merged automatically by Emburse AI.
Merged receipts display only under Merged. They do not display under Receipts. The corresponding merged credit card transactions also display under Credit Card.

Search Your Wallet

Use the search bar at the top of your wallet to find receipts or credit card transactions.

Tap Receipts or Credit Card to choose which items to search.

Receipts

With the Receipts filter selected, you can search receipts by:

  • Vendor Name
  • Receipt Notes
  • Transaction Amount

Credit Card Transactions

With the Credit Card filter selected, you can search transactions by:

  • Vendor Name
  • Transaction Amount

Action Needed

The Action Needed section displays at the top of your wallet below the filter options, regardless of which filter is selected.

This section displays preauthorized credit card transactions that still require receipts. Depending on the card provider, these transactions may appear shortly after you make a purchase.

Tap a transaction in the Action Needed section to view transaction details, capture a receipt, or attach an existing receipt.

Once you attach a receipt, the transaction no longer displays in the Action Needed section.
       
Transactions remain in the Action Needed section for up to three days or until you attach a receipt. The app displays a yellow warning message during the final 24 hours before the transaction expires without an attached receipt.

If you do not attach a receipt before a transaction expires in the Action Needed section, you must merge the transaction and its corresponding receipt manually or let Emburse AI merge them automatically after the receipt uploads. See Merge Receipt and Credit Card Transactions for complete details.

Add Receipts to a Draft Report

You can add one or more processed receipts from your wallet to an existing draft report. This lets you continue expense reporting from the Emburse Enterprise mobile app without switching to desktop.

You can only add processed receipts to a report from your wallet. Receipts that are still uploading or processing must finish processing before you can add them to a report.

After you select a draft report, Emburse Enterprise displays the report in a webview with the receipt attached.

Add One Receipt to a Draft Report

1. In the navigation bar, tap Wallet.

2. Tap the receipt you want to add to a report.

3. Under Add to Report, select the draft report to which you want to add the receipt.

4. In the confirmation pop-up, tap Continue to confirm that you selected the correct report.

Add Multiple Receipts to a Draft Report

1. In the navigation bar, tap Wallet.

2. Tap the thumbnail image next to each receipt you want to add to the report.

4. Tap the draft report to which you want to add the receipts.

The report displays with the Add Expense screen active, the matching expense type for the first receipt selected, and all receipts attached.

If You Do Not Have a Draft Report

If you do not have any draft reports, you can create a draft report from your wallet or from the Receipt Details screen.

To create a report from your wallet, select the receipt(s) and tap CREATE REPORT.

The app does not attach the receipt automatically. After you create the report, return to your wallet and add the receipt to the new draft report.

Add a Receipt to a Credit Card Transaction

If a credit card transaction requires a receipt, you can attach one directly from the Action Needed section, even if the Receipts filter is active.

1. Under Action Needed, tap on a transaction.

2. Select one of the following:

  • Choose From Files: Displays the files folder on your device.
  • Choose Photo: Displays the camera roll on your device.
  • Capture Receipt: Opens your device’s camera.

3. Select or capture the receipt that corresponds to the transaction.

Manage Receipts in Your Wallet

Your wallet allows you to upload, review, organize, and manage receipts directly from the Emburse Enterprise mobile app.

Pending Receipts

The Pending section displays receipts that are still uploading or processing through Emburse AI. Once a receipt has finished processing, it moves to the Processed Receipts section.

Pending receipts may display:

  • Upload progress
  • Additional transaction details
  • Warnings or errors

Pending Receipt Statuses

  • Uploading: Receipt has not yet reached Emburse Enterprise.
  • Emburse AI Analyzing: Receipt has reached Emburse Enterprise and is waiting for processing to complete.

Warnings and Errors

Warnings and errors display in the Pending section when additional action is required.

  1. Tap the receipt to view additional details.
  2. If available, tap the Retry link to attempt reprocessing.

Alternatively, tap Delete to remove the receipt so you can capture it again.

Processed Receipts

After processing completes, the app displays receipts below Action Needed and Pending. The app groups receipts by date, with the newest receipts appearing first.
       
Your wallet displays all unused receipts uploaded to Emburse Enterprise, including receipts not uploaded from the Emburse Enterprise mobile app.

Receipts remain in your wallet until they are used in an expense report.

If you added a note to a receipt, the note displays below the receipt thumbnail. Otherwise, the merchant name displays after Emburse AI processing completes

View Receipt Details

Tap a receipt to view the receipt image, transaction date, currency, amount, vendor, upload date, and receipt notes.

Viewing Options

  • For longer receipts, swipe up on the image to view the remaining content.
  • Double-tap the receipt image to zoom in.
  • Multipage receipts display white dots at the bottom of the image. Swipe left or right to navigate between pages.

Select Multiple Receipts

Your wallet allows you to select multiple receipts at one time by tapping the image for each receipt to turn it into a checkbox.

The app disables Search while multiple items are selected.

Available actions display in the upper-right corner of the screen and, depending on your organization’s configuration, may include:

  • Add to or create a report
  • Download the selected images to your device
  • Delete images

Delete a Receipt

You can delete a receipt in multiple ways:

  • Tap a receipt, then tap Delete.
  • Swipe right on a receipt in your wallet to delete it quickly.
  • Select multiple receipts and tap the Trash button.

Manage Credit Card Transactions in Your Wallet

Your wallet displays eligible credit card transactions from connected corporate or linked cards so you can review transaction activity and attach receipts quickly.

View Credit Card Transactions

Transactions appear under the Credit Card filter and display in batches of up to 20 per refresh, based on the selected filter. You will see:

  • Individual credit card transactions
  • Attached receipts, when available

Your wallet does not display credit card balances or full card-account details

Credit Card Transaction Status

Credit card transactions may display in the following states:

  • Action Needed: Preauthorized transactions that require a receipt.
  • Pending: Transactions that are authorized but not fully processed.
  • Posted: Finalized transactions grouped by date.

Credit Card Transaction Availability

How soon the transaction is available in your wallet depends on the card provider.

Immediate Visibility

Emburse Cards and American Express® card programs that support pre-authorizations provide immediate transaction visibility.

Standard Availability

Transactions from other supported banks display after Emburse receives them from the provider.

Transactions may update as they move from Pending to Posted status.

View Credit Card Transaction Details

Tap a credit card transaction to view available information, including amount and date, card reference number, vendor, and other details.
